Workflow systems and CRM

One place for your jobs, clients and numbers

We design and build the system your business runs on. Where enquiries land, how a job moves from quote to invoice, who picks up what next, and what the week looks like on one screen. Often that is monday.com, where we are a partner. Sometimes it is the CRM you already pay for, or a much better spreadsheet.

monday.com Partner

This is probably you if

  • Jobs, quotes and clients are spread across a spreadsheet, two inboxes and a WhatsApp group
  • You pay for a CRM or project tool that half the team ignores
  • Monday morning starts with someone asking what is booked this week
  • Quotes go out and nobody follows them up
  • The person who set up your current system has left

monday.com: the platform we use most

We are a monday.com partner and most of the systems we build run on it. It copes well with sales pipelines, job tracking, forms, automations and dashboards, and teams who would never call themselves technical get on with it.

It is not the answer for everyone. If you already have a CRM or project tool that does most of what you need, we will usually fix and extend it instead of moving you. If your sector needs specialist software, such as clinical records, we will tell you.

If you already know you want monday.com, or you have an account that has got out of hand, our monday.com consultancy page covers set up, rebuilds and ongoing support.

What we build

CRM and sales pipeline

Every enquiry logged once, with a follow up date on it and a won or lost reason at the end.

Jobs and projects

Booking, scheduling, materials and sign off for each job, with its status visible to whoever needs it.

Quotes

Quote templates that work out the price by formula, number each quote and send it for approval when needed.

Client and staff records

Onboarding checklists, contracts, training dates and renewals, each with a date and an owner.

Weekly numbers

The handful of figures you check every week, on one screen, updated as the work happens.

Moving off old systems

Spreadsheets and old tools cleaned up and imported, so the new system starts with your live work already in it.

How it works

  1. Map the work

We follow one typical job from first enquiry to final invoice and note where it stalls.

    See an example

For example, two hours with whoever books the jobs and whoever sends the invoices shows where things fall through.

  2. Choose the platform

We recommend what fits, and sometimes that means keeping what you have.

    See an example

For example, a firm already paying for a CRM may only need it set up properly and connected to a job board.

  3. Build and test

We build it, then your team runs live work through it for a couple of weeks before anyone switches over.

    See an example

For example, new enquiries go into the new system while the old spreadsheet stays read only for reference.

  4. Train and support

Each role gets a short walkthrough and a written guide, and we stay on hand for changes.

    See an example

For example, the office team learns quoting and booking, while the owner learns the weekly dashboard.

What it costs

Reviewing and fixing an existing system is usually charged by the hour. A new build could get a fixed quote once we have mapped the work together, so you know the cost before we start. Changes after go live can be hourly, with no minimum term.

Frequently asked questions

Do you only work with monday.com?

No. It is the platform we use most and we are a partner, but we start with how your business runs. If another platform, or the CRM you already have, suits you better, we will work with that.

Can you fix a system someone else built?

Yes. A lot of our work starts with an account that has grown messy over the years. We keep what works and rebuild the rest.

How long does a new system take?

For a small team, the main workflow is often running within a few weeks. Bigger builds go in stages, starting with whatever causes the most follow up work.

Do you train the team?

Yes. Each role gets a walkthrough of the parts they use and a short written guide to keep.

Do you work outside London?

Yes. Builds are done remotely for clients anywhere in the UK, and workshops in London can be in person.

What does a system like this cost to run?

Most platforms charge per user per month. We recommend the smallest plan that does the job and tell you the running cost before you commit.

Can it connect to our accounts software?

Often, yes. Most workflow platforms connect to common accounts, email and calendar tools, either directly or through a connector. We check what is possible before we build.

Edward quickly got under the skin of how our business actually operates. He helped us put proper systems and structure in place, which has made a noticeable difference to how smoothly we run day to day. Communication is clear, delivery is fast, and the impact has been immediate.

Most systems we build start with a rough sketch of how a job moves from enquiry to invoice. Send us yours, however rough it is.
