An events company
One system for an events company that had outgrown its spreadsheets
An events company was running on spreadsheets spread across the business, with no clear way to show clients how their event was progressing and no reliable view of the money.
The challenge
Work was tracked in spreadsheets kept in different places by different people. Clients had no simple way to see what was happening with their event, so updates meant phone calls and emails. Tracking the money was the hardest part. Deposits, supplier costs and final payments were hard to follow, and the owner could not see where things stood without asking around.
What we did
- Brought the scattered spreadsheets into one workflow system, connected to the other tools the business uses
- Set up a clear flow for each event, from first enquiry to final payment
- Added reminders for the dates and payments that used to depend on someone remembering
- Set up the finances properly, so deposits, costs and payments are recorded against each event
- Built visual progress views that can be shared with clients
- Gave the owner one view of everything, ready to grow with the business
Results
The owner now sees every event, and where the money stands, in one place. Reminders go out at the right time, the finances are set up properly, and clients get a clear picture of their event without having to ask for updates. The system is built to keep up as the company grows.
